Getting started

Is there a free trial?
Yes. Every agency starts with a 14-day free trial with full access to the platform. No credit card is required to begin, and you will not be charged when the trial ends unless you choose to subscribe.
How long does it take to set up?
You can sign up and be inside your own workspace in minutes. A guided setup walks you through adding your agency details, your first caregivers, and your first clients, so you can run a real visit the same day.
Do I need to install anything?
No. CareKindle runs in the browser for your office team. Caregivers clock in and out from their phone using the same web login, so there is nothing to download from an app store to get started.
Is CareKindle available in French?
Yes. The product and this site are bilingual in English and French, and you can switch languages at any time. Caregiver and family screens follow the same language choice.

Pricing and billing

How is CareKindle priced?
CareKindle is priced per client seat. You pay for the clients you are actively serving, not for how many staff log in, so your bill tracks the size of the caseload rather than the size of the team.
What is a client seat?
A client seat is one active client on your caseload. Office staff, schedulers, and caregivers all use the platform at no extra per-login cost. As clients move on or off active service, your seat count follows along.
Do I need a credit card to try it?
No. The 14-day trial starts without a credit card. You only add billing details if you decide to continue after the trial.
How are agency subscriptions billed?
Your agency subscription is billed securely by card. Client invoicing within your agency is handled separately through your own accounting workflow, including a QuickBooks Online export.

Security and privacy

How does CareKindle handle privacy law?
The health-privacy laws that apply depend on where your agency operates — PHIPA and PIPEDA in Canada. These are laws, not certifications, so we describe CareKindle as built to align with them rather than as already accredited. We design every feature that touches health information to support your obligations under the privacy laws that apply to you.
How is each agency’s data kept separate?
Every agency works in its own isolated tenant. Data from one agency is never visible to another, and that separation is enforced at the database layer, not just in the interface.
Is personal health information encrypted?
Information is encrypted in transit between your browser and CareKindle. Sensitive records are protected so that data moving across the network is not readable if intercepted.
Can we see who viewed or changed a record?
Yes. Sensitive actions and chart views are logged to a tamper-evident audit trail, so you can see who did what and when. The full posture, including what we are still working toward, lives on the security page.

Caregivers and families

How do caregivers use CareKindle?
Caregivers sign in on their phone in the browser to see their schedule, check in and out at the door, and complete visit notes. Verified visits flow straight into billing and payroll, so no one re-keys the same hours twice.
How do caregivers verify a visit?
Caregivers check in and out at the point of care, with optional GPS-based verification at the door. Late or missed visits surface in an exception queue so your office can act on them quickly.
Can families see what is happening?
Yes. You can invite a client’s family to a secure family portal where they see scheduled visits and approved updates. Families only ever see the client they are connected to, never anyone else.
Do caregivers and families need an account?
Yes. Caregivers and family members each set up their own email-and-password login by invitation, so access is always tied to a named person and can be revoked at any time.

Integrations

Which integrations does CareKindle offer?
CareKindle works with QuickBooks Online for accounting and Mapbox for maps and travel. These are the integrations we focus on so the core tools you already run stay in step with the platform.
How does the QuickBooks Online connection work?
Today you can export your data for QuickBooks Online so it lines up with your books. A live, two-way QuickBooks Online sync is on our roadmap and coming soon; until it ships we are honest that the export is the current path.
What is Mapbox used for?
Mapbox powers the maps and location features in the platform, including showing where visits take place and supporting travel between clients. It is built in, with nothing extra for you to set up.
Can CareKindle connect to other tools?
We are deliberate about integrations and add them where they genuinely help agencies, rather than listing connectors we do not maintain. If a tool is important to your workflow, write to us and we will tell you honestly where it sits.
